02 CLIENT GUIDE

ONLINE STORES AND BOOKING SYSTEMS EXPLAINED

Customers see simple buttons such as “Buy” or “Reserve.” Behind those buttons are business rules that determine whether an order or reservation is valid, payable and manageable by your team.

Start by mapping the complete customer journey

For a store, trace product discovery, cart, checkout, payment outcome, order fulfillment, refunds and status messages. For booking, trace search, availability, selection, confirmation, cancellation, rescheduling and staff intervention.

Choose between inquiry and confirmed transaction

An “Ask for availability” form may be enough for some businesses. Live booking requires a trusted calendar or inventory source, concurrency rules to prevent double booking, rate calculations and reliable transactional records.

Define payment responsibilities

Decide payment provider, accepted methods, who is the merchant of record, checkout failure behavior, refund handling and reconciliation. Avoid handling raw bank-card details in custom application code unless appropriate specialist compliance work is in scope.

Plan administrator and staff controls

Staff may need roles for updating product stock, approving reservations, setting blackout dates, issuing refunds or viewing reports. Permissions should prevent customers or ordinary staff from changing protected records.

Plan messages and exception paths

Order confirmations, booking notices, cancellations, disputes, no-shows, refunds and failed notifications all need deliberate rules. Email and SMS providers usually add recurring costs.

Prepare store and booking policies

The business owner needs accurate shipping, returns, refunds, cancellation, check-in, taxes and data-processing information. Developers can implement approved rules but should not invent commercial policy or legal requirements.

Questions to prepare before requesting a quote

  • Products or services and their variations
  • Source of truth for inventory or available time slots
  • Payment provider and applicable taxes/fees
  • Refund and cancellation policies
  • Staff roles and notification flows
  • What the customer sees when payment or booking fails
  • Whether AI is optional and what actions it may safely perform

Example: how this affects a real project

A salon might use two staff calendars with 30- and 60-minute services. A resort may have multiple room types, occupancy limits and seasonal rates. Treating both as “booking websites” without mapping their business rules would produce a misleading quote.

Frequently asked questions

Can an AI chatbot complete a booking?

Only if linked to verified inventory and authorized backend actions, with the required confirmations. It must not make up available dates or reservation numbers.

Is a payment gateway included?

Only if the agreement lists it. Setup, verification and transaction fees depend on the provider.

Can I use my existing inventory software?

Possibly, subject to available APIs, permissions, data quality, licensing and integration feasibility.
