02 CLIENT GUIDE

WHAT AFFECTS WEBSITE AND APP COSTS?

A quoted price is not just payment for pages or screens. It reflects the work needed to design, implement, validate and release an agreed solution—and the risks that cannot yet be estimated.

Design and content scope

Original interface design, multiple distinct page types, custom illustration, copywriting, photography and multilingual content all require different levels of effort. A five-page business website and a five-screen booking app are not equivalent projects.

Functional complexity

Forms are not the same as complex approvals. Customer logins, role permissions, recurring subscriptions, real-time inventory, geolocation, migrations, invoicing or multi-branch reporting add engineering and QA work.

Third-party integrations

Payment gateways, CRM platforms, maps, SMS, email services, cloud providers, analytics, AI APIs and app-store programs may have separate setup, transaction or recurring fees. Some also require provider approval or account verification.

Testing, risk and compliance

Sensitive user data, financial records, health information, children’s services and regulated transactions demand additional design review and validation. The need for independent security assessment or legal advice should be identified early.

Ownership, content and launch responsibilities

A proposal should state who registers domains, funds hosting, owns accounts, provides content, performs app-store submission, keeps backups and manages the system after delivery. These responsibilities materially affect long-term cost.

How change requests affect price

A defined number of review rounds and acceptance criteria reduce misunderstandings. Features added after scope approval should receive a written estimate and revised schedule before work proceeds.

One-time vs recurring costs

Development is often a one-time project; hosting, domain renewals, paid plugins, messaging, AI usage, maintenance and support may recur. Ask for these as separate line items.

Questions to prepare before requesting a quote

  • What is your approximate budget range?
  • Which features are essential for version one?
  • Do you need original design or adaptation of a chosen direction?
  • What third-party accounts already exist?
  • Who is responsible for content, support and infrastructure?
  • What launch constraints or compliance requirements matter?
  • What must be delivered at handover?

Example: how this affects a real project

Two businesses both request a “booking website.” The first only collects appointment requests for staff confirmation. The second must prevent double bookings, handle paid deposits, time zones, cancellations and automated reminders. The latter needs more extensive development and testing.

Frequently asked questions

Can I get an instant fixed price?

Simple repeatable scopes may have starting prices, but meaningful custom work requires a written scope and assumptions first.

Do sample prices include everything?

Not necessarily. Internal planning ranges are not binding quotations; check exclusions and recurring costs.

Does an AI feature have a monthly cost?

Often. Provider usage, retrieval services, hosting, monitoring and support may be billed separately.
